Purpose and rules of personal data processing by Animalhotels.com under Booking Protection

Definitions

Animalhotels.com – (limited liability company) with its registered office in Łódź, H. Sienkiewicza 72, 90-318 Łódź, entered into the Register of Entrepreneurs kept by the District Court for Łódź-Śródmieście in Łódź, XX Commercial Division of the National Court Register under KRS number 0000934860, REGON 520527265, NIP 7252314345, share capital: PLN 116,200.00.

Application – the animalhotels.com mobile application for Android and IOS systems available to Users.

Personal data – any information about an identified or identifiable natural person ("data subject").

Customer – a natural person whose personal data is processed by animalhotels.com in connection with the use of Booking Protection through the animalhotels.com Website and/or Application.

Booking Protection – a service offered by Animalhotels.com that provides additional protection for Customers who book services on the Website and/or Application. The purpose of this protection is to provide Support in situations where a Booking is disrupted for reasons beyond the Customer's control.

GDPR – Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC.

Website – the animalhotels.com Website available to Users at https://www.animalhotels.com/.

I. Data collecting and processing

  1. As a result of the use of the Website and/or Application, Animalhotels.com may process in particular the following personal data: name, bank account number, phone number, email address, documents sent as attachment (including but not limited to receipts, invoices, photos), description of the incident.
  2. Animalhotels.com provides Customers with the possibility to use the Website and/or Application in an anonymous manner, however, in order to have full access to the Booking Protection offered through the Website and/or Application, it is advisable to submit a request using an online form. Provision of data by the Customer is voluntary. In the case of data collection to perform an obligation specified by law, providing personal data is mandatory.
  3. Provision of personal data by the Customer is necessary for the performance of Booking Protection.

II. Purpose and basis for personal data processing

Customer’s personal data is processed:

  • on the basis of the need for processing to comply with the provisions of the Booking Protection;
  • on the basis of the need for processing to fulfil the legitimate interest of the controller:
    • to take possible actions related to the prevention of crimes;
    • to pursue possible claims related to the Booking Protection;
    • for analytical purposes to determine preferences or presumed needs for the Booking Protection products;
    • to assess satisfaction with Animalhotels.com services – the legitimate interest is to control and improve the standards of the services provided by Animalhotels.com.

III. Recipients of personal data

Customer's personal data may be transferred to entities that process them on behalf of Animalhotels.com, including but not limited to IT service providers or payment service providers – whereby these entities process data on the basis of an agreement with Animalhotels.com and only to the extent that they are instructed to do so.

Data may be shared: only with trusted recipients, including business partners who process data on the basis of personal data entrustment agreements. All entities to which the data is transferred are obliged, under entrustment agreements or directly by data protection regulations, to provide appropriate technical and organisational measures to ensure an adequate level of data security. Personal data shall be processed for no longer than a period necessary to fulfil the purposes for which it was collected and processed, or for a period directly prescribed by law.

Some of these service providers may store data outside the European Economic Area. In such cases, data may be stored in countries that provide an adequate level of personal data protection, or in countries that do not provide such a level. Animalhotels.com secures Customer data by entering into agreements with Animalhotels.com service providers that contain the so-called Standard Contractual Clauses accepted by the European Commission, which provide a guarantee of adequate protection of Users' data in third countries.

IV. Data retention period

We will retain your personal data until the limitation period for claims under Booking Protection expires, or until the obligation to retain personal data under the law expires, in particular the obligation to retain accounting documents related to the processing of payments under Booking Protection.

We will stop processing your personal data for analytical purposes if you object to the processing in this regard.

V. Rights in personal data processing

You can always ask for access to your personal data. You can also exercise your right to rectify or delete your data, or limit its processing:

  • to the extent that we process Customer personal data based on the legitimate interests of the controller, the Customer has the right to object to the processing of their personal data;
  • to the extent that we process personal data on the basis of the Customer's consent, the Customer has the right to withdraw it at any time; withdrawal of consent does not affect the lawfulness of the processing performed on the basis of consent before its withdrawal;
  • to the extent that we process personal data in order to perform the Booking Protection or on the basis of consent, the Customer also has the right to data portability, i.e. to receive their personal data from Animalhotels.com, in a structured, commonly used readable format, e.g. in CSV, XML format; they may send the data to another personal data controller;
  • the Customer always has the right to lodge a complaint to the supervisory authority in charge of personal data protection. In Poland, such authority is the President of the Personal Data Protection Office.

VI. Personal data processing method

In connection with the processing of personal data provided by the Customer, decisions regarding the Customer will be made in a direct manner. These decisions will be related to the verification of the incident and the execution of the provisions under Booking Protection.

In the case of such a decision, the Customer has the right to contest it, to express their own opinion or to obtain the intervention of our employee in this regard.
